Changes to the project or budget

As the project owner, you are responsible for ensuring that the grant is used in accordance with the rules set out in the project document and that the final report is submitted as agreed. If major changes in the project plans occur and the need for the use of the grant changes, the network coordinator shall contact the main administrator. You must wait for approval before implementing them.

The main objectives of the project must always remain the focus, and you cannot receive a higher grant than the amount stated in the programme document.

Certain changes may affect the size of the grant you are allowed:

  • If fewer participants have taken part in exchanges or meetings.
  • If the sending or receiving country changes, as travel costs differ between countries. 
  • Changes in the number of meetings or activities compared with the approved activity plan. 
  • If fewer organisations have participated in the project or network than originally approved.
  • If mobility projects have stays than the prescribed minimum duration.

All changes made must be explained and justified in the final report.

If you carry out all activities as planned, you may use the grant with full flexibility. This means that any surplus from one activity can be used for other approved activities within the project. Examples of how a surplus may be used, without prior approval from the Nordplus administration, include:

  • Funding awarded for stays in one country or at one organisation may be used for stays in another country or at another organisation. For example, a surplus resulting from lower travel, meal or accommodation costs than expected in one country may be used to cover higher costs in another.
  • If you have not used the entire grant during an exchange, you may include additional participants or use the remaining funds to cover other expenses.
  • A surplus may also be used for minor adjustments to planned exchanges and meetings, for example if the host country or the number of meeting participants changes.
  • For Nordplus Junior: If travel costs are lower than the amount awarded for travel expenses, the remaining funds may be used for subsistence or accommodation for pupils or students.
  • For Nordplus Adult: Development and mapping projects can freely transfer up to 25% of the funds between transnational project meetings and development work.
  • For all programs: If a surplus remains at the end of the project, it may be used to disseminate project results or to carry out additional evaluations, if it is directly linked to the project and contributes to achieving its objectives. 

If something happens

It is not possible to receive additional funding beyond the amount stated in your project document. Exeption is made for incusion support. 

In justified cases, expenses for cancelled activities or unforeseen costs may be covered by the grant, for example, in the event of a pandemic, sudden illness, or death in the family during a stay abroad. In such cases, the Nordplus administration may approve costs for travel and accommodation. You must contact the relevant main adminsitratior in these situations and ensure that all changes are properly documented.

Make sure to take out travel cancellation insurance. Exchanges cancelled before departure due to illness or similar reasons are not considered force majeure and such costs are therefore not covered by the grant.
