Roles and responsibilities

The coordinating organisation is responsible for the project both towards the participating organisations and towards the Nordplus administration.

The project coordinator signs the project’s programme document (your agreement with us confirming that you accept the general conditions for your project) and receives the grant payment from Nordplus.

The coordinating organisation’s main responsibilities are to:

  • distribute and transfer the grant to each partner organisation as stated in the project plan, and without unjustified delays.
  • act as the intermediary for all communication between the partners and the Nordplus administration.
  • promptly inform the Nordplus administration of any changes within a partner organisation (for example new contact persons or legal representatives), or of any events that may affect or delay the implementation of the project.
  • coordinate the cooperation between the partner organisations in each country;
  • ensure that the activities carried out and planned are in line with the objectives, plan and budget approved for the project;
  • collect and keep all necessary information and documentation from all partner organisations for the final report and for possible audits;
  • submit the final report on time and ensure that it includes all required information.

Partnership agreement

We recommend that you establish a partnership agreement at the start of the project. The agreement should describe and define each partner’s contribution, the distribution of the budget, and the expectations for all parties involved.

The coordinating organisation is responsible for drafting the partnership agreement, but all partners must agree on its content. Particularly on how the grant is to be distributed.

The partnership agreement should include at least:

  • the share of the grant allocated to each partner organisation;
  • the principle used for distributing the grant among partner organisations;
  • the procedure for reporting;
  • the process for collecting documentation (supporting documents).
